Booking, Cancellation and Refund Policy

Booking & Confirmation
A booking becomes confirmed once:
- The itinerary and price have been accepted by the client; and
- The required deposit has been received.
Unless otherwise stated in the individual proposal, a deposit of 50% of the total tour price is required to confirm the booking.
The remaining balance is generally due 15 days before arrival.
For bookings made within 30 days of arrival, full payment may be required at confirmation.
Supplier-Specific Conditions
Some hotels, private venues, performances, special-access experiences, flights, transportation services, and other suppliers may require earlier payment or impose stricter cancellation conditions.
Where such conditions apply, they will take precedence for the relevant component of the booking and will be communicated to the client whenever possible before confirmation.
Cancellation by the Client
Cancellation requests must be submitted in writing.
Unless different conditions are specified in the confirmed proposal, cancellation charges may apply according to the date Adeona receives written cancellation.
Cancellation & Refund Policy
All cancellations must be submitted to Adeona Travel Atelier in writing. The cancellation date is the date on which written notice is received.
Unless otherwise specified in the individual proposal or booking confirmation, the following cancellation charges apply:
- More than 60 days before arrival: 10% of the total tour price, plus any non-refundable supplier costs already incurred
- 31–60 days before arrival: 30% of the total tour price, plus any non-refundable supplier costs already incurred
- 15–30 days before arrival: 50% of the total tour price
- 8–14 days before arrival: 75% of the total tour price
- 7 days or less before arrival / no-show: 100% of the total tour price
Refunds
Where a cancellation qualifies for a refund, Adeona will refund the amount received less the applicable cancellation charge, non-refundable supplier costs, and non-recoverable bank or payment-processing fees.
Certain tailor-made programs may be subject to booking and cancellation terms different from those stated above due to the requirements of specific hotels, venues, performers, experts, or other suppliers. Any such terms will be clearly stated in the individual proposal or booking confirmation and will take precedence over the standard policy.
Non-Refundable Services
Certain confirmed services may become non-refundable once purchased or reserved, including special performances, private cultural access, event tickets, workshops, specialist fees, transportation commitments, and accommodation subject to supplier conditions.
Any such non-refundable amounts will be deducted from a refund.
Client-Initiated Changes
If guests voluntarily choose not to use a confirmed service during the journey, including meals, excursions, accommodation, transportation, or activities, no refund is guaranteed for the unused service.
Changes by Adeona
Occasionally, weather, road conditions, closures, religious services, institutional requirements, availability of specialists, or other circumstances may require an itinerary adjustment.
Adeona will make reasonable efforts to provide an appropriate alternative of comparable quality and relevance.
Force Majeure
Adeona cannot be held responsible for failure to provide services due to events beyond its reasonable control, including natural disasters, severe weather, political or civil disruption, border closures, government restrictions, epidemics, strikes, flight disruptions, or similar extraordinary circumstances.
Where possible, Adeona will work with clients and suppliers to rearrange affected services or recover refundable amounts.
